MINUTES OF THE BARNES AREA HISTORICAL ASSOCIATION MEETING

OF NOVEMBER 16, 2006

 

Members present: Dave Pease, Carol Pease, Quentin Ruprecht, Linda Oberstar, Jon Harkness, George Martin, Kurt Kuhlman, Nori Newago and Lu Peet.

 

President Dave Pease called the meeting to order at 9:08am.

 

The minutes of the last regular meeting were dispersed and discussed. Motion (Quentin Ruprecht / Kurt Kuhlman) to approve the minutes as presented. Call for discussion. Motion carried.

 

Linda Oberstar gave the Treasurer’s Report as follows:

CD One for $10,000.00 matures on November 29, 2006, at 4.32%

CD Two for $10,000.00 matures on February 16, 2007, at 4.32%

CD Three for $1,345.00 matures on November 18, 2007, at 5.5%

 

There was discussion on what to do with the CD that is maturing soon. Should we keep it in the State Bank of Drummond or look somewhere else such as the Credit Union in Hayward to see if we can get a better interest rate. Linda Oberstar will check out the rates. It was decided to put all of the money including the interest earned on the current CD One into the new CD. Motion (Lu Peet / Jon Harkness) to put the full amount of CD One plus the earned interest on the CD into a new CD for one year (or thirteen months depending on the rates) after Linda checks out the new rates. Call for discussion. Motion carried. Motion (Jon Harkness / Quentin Ruprecht) to approve the Treasurer’s Report as presented. Call for discussion. Motion carried.

 

The insurance issue was discussed. Teri Danielson the agent from State Farm Insurance notified us that the applications have been received, but that we have to get a few issues resolved first.  The BAHA shall have the books audited yearly by someone with no access to the accounts. These will be members of the BAHA and will be done on a yearly basis. We have checked with Ms. Danielson and at this time, we are not required to have a CPA do this. The checkbook and bank statement shall be reconciled monthly by a member of the BAHA not having access to the accounts. This will be done by Carol Pease [unless she is unable to do so and then another member of BAHA will be appointed to do so]. There was discussion on having more that just the treasurer’s name for the signature requirement on the checks. The insurance provider for the bond requires that we have more than one signature for the checks. Three officers will sign the bank card and anyone of the three, plus the treasurer, will sign the checks. Motion (Lu Peet / Quentin Ruprecht) to have the names of the three officers- Bob Oberstar, Dave Pease and Lu Peet- added to the bank’s signature card and to have Carol Pease reconcile the checkbook and bank statement on a monthly basis. The books of the BAHA shall be audited on a yearly basis by members having no access to the accounts. Call for discussion. There was a statement that Dave Pease’s name should be put on the CD’s replacing out going President Judi Scholz’s name. Motion carried.  The insurance agent should have the policy back to us by next month if all is OK with the insurance company.

 

The By-Laws were discussed. Nori Newago will have the updated changes out to the members for review. Changes will be made to ARTICLE IV- OFFICERS and ARTICLE VII- MEETINGS. There was discussion on when memberships take effect. It was decided that any first-time member signing up after July 1st will be considered a member from that point on. Motion (Quentin Ruprecht / Lu Peet) that a first-time member shall be considered a voting member from the date of application if the application is made on July 1st or later and shall be considered as a paid member for the coming year also. Call for discussion. New members applying before July 1st will only be considered as a voting member for that year. All other memberships are due for renewal on January 1st except Life Memberships.  Motion carried. The Secretary will send a cover letter along with the revised By-Laws to all members. We will vote on the revisions at the December meeting.

 

There was discussion on when our dues to the Bayfield County Historical Society are due. Lu Peet will check with them to see when the money is due.

 

Quentin Ruprecht gave the Elk Report as follows:

November 16, 2006

Members: Lu Peet, Quentin Ruprecht, Helen Ruprecht, Keith Crowley, Julie Johnson and George Martin.

 

The latest work from the elk committee is the 2006 Elk Brochure. It has been completed, reviewed and edited by several BAHA members and Dr. Hudson. Some pictures may be changed if better ones can be developed before it goes to printing.

The brochure was presented to Advanced Printing for a printing quote. It is to be printed in black on bright green paper 8 ½” by 14”. The quote included folding into a 4- segment brochure. The following quotes were received from Advanced Printing:

2000 Copies= $207.00

2500 Copies= $241.00

4000 Copies= $345.00

Motion (Jon Harkness / Linda Oberstar) to have 2500 copies printed at $241.00. Call for discussion. Motion carried. Quentin will contact Advanced Printing on this. The brochure will go in with the town’s tax bills

 

Carol Pease noted that all of the BAHA members should keep track of the time they put into BAHA. This can be used as “in-kind” hours when we apply for grants in the future. There was discussion on that there are forms that can be used for this information. Carol also asked Nori if the 501 ( c) (3) has been completed. Nori said that she has completed the application and that the reason for the delay was that changes have been made for non-profits and that an extraordinary number of applications have been made. We will also have to pay $300.00 for this number. That is something new Nori said. Motion (Jon Harkness / George Martin) to pay the $300.00 and make it payable to the United States Treasury. Call for discussion. Motion carried. Linda will give a check to Nori today. There was discussion that our association is automatically a member of the State Historical Association as we are members of Bayfield County Historical Society. There was some mix up of this information previously. Carol said we do need to get our own 501 (c ) (3) number though.

 

There was discussion on what to do with donations and memorials. Linda said she sends a thank you with all donations. This money could be used for special projects and then have a tile or brick or plaque with the donor’s name or memorial name on it. We have to keep accurate accounts of all of the donations. There was still concern about using Bayfield County’s number for our tax exempt number until we get our own number. Dave Pease will check on this.

 

 Lu will get an updated membership list to Linda. Both the Treasurer and Secretary should have copies of the applications.

 

The committee reported on the raffle. The meal would be set for $5.00. The menu will include hot beef sandwiches on rolls, dill and sweet pickles, chips, coffee, milk, condiments for the sandwiches and donated desserts. There was discussion on getting the beef pre-made from Upper Lakes Foods. The VFW will get any proceeds from the bar. The VFW donates the building, but we will have to pay the $75.00 clean up fee.  Various members will get out to the area establishments to secure prizes. Posters have been put out in the Hayward, Iron River, Ashland, Washburn and Gordon areas, as well as the Barnes area. Lu Peet reported on the ticket distribution and sales. She has sent out tickets to the members with a letter requesting the help in selling the tickets and also to try to get prizes for the raffle. She will call up any outstanding tickets and money in mid-January. We are keeping an accurate record of what tickets are sold and who still has them out. Jon Harkness brought up a discussion on having a membership drive at the raffle event. He suggested giving one free sandwich ticket for each new membership signing up that day. This would be one per family. This was thought to be a good suggestion. There was discussion if we needed a bingo license for the raffle day. Dave Pease said that since we do not give out monetary prizes, we do not need to apply for a license.

 

Jon Harkness said he has not been able to get the Mission Statement completed yet, but that he will have it for us at the December meeting.

 

Linda Oberstar said that Bob had talked to Fritz Barnes about the land for the museum, but that serious talks will begin after deer season.

 

Kurt Kuhlman said that he has the Centennial Book up on E Bay and that he has sold one copy. He said he has brought up the books for Dave Thorson to sign. Kurt is including membership information and other information in the package. Kurt suggested that at each meeting we have a short discussion period where members can tell stories of the Barnes area or give historical information about the area. This is what we are about, Kurt said, learning about the past so that we may preserve it.  Kurt told of an article in the newspaper of 1926, where a moose was seen in the area. There was discussion on other moose sightings in the past.

 

There was discussion on having a Christmas brunch meeting for our December 21st meeting. Lu will check with Downtown Barnes on this.

 

Motion (Linda Oberstar / Jon Harkness) to adjourn the meeting. Call for discussion. Motion carried. The meeting was adjourned at 11:46am. The next meeting will be December 21, 2006 at 9:00am at Downtown Barnes.
